| The purpose of our terms and conditions is to ensure we maintain the highest standards in each of our properties for our owners and for our guests. It is our goal to keep each property well maintained and to keep our neighborhoods peaceful and relaxing. The Florida coast is a special place with a blend of snowbirds, year-round residents, and rental visitors. Keeping our standards high through property regulations will make it a positive experience for all involved. With everyone working together it will remain an enjoyable place to return to for years to come.
Effective Date: January 1, 2025
By booking a reservation with Reel Coastal Properties, you agree to these Terms and Conditions. Please read them carefully before completing your reservation.
1. Reservation and Payment
- Booking: A booking is considered confirmed when you receive a confirmation email after payment is made. Bookings are not considered valid without confirmation from the property owner or management.
- Parent or Legal Guardian: The reservation is required to be made by an individual of at least 25 years of age. The properties are considered family vacation rentals and therefore each individual under the age of 25 must be accompanied by a parent or legal guardian who must also reside at the property throughout the duration of the stay. Reservations obtained under false pretenses will cause forfeiture of all payments and guests will be asked to vacate the rental property immediately. This policy includes reservations made by parents who do not check-in, and/or who leave overnight during the length of the stay. NO EXCEPTIONS!
- Deposit: A 50% deposit is required at the time of booking to secure your reservation. The remaining balance is due 30 days before check-in.
- Payment Methods: We accept payment via credit card, bank transfer or check. All payments are processed in USD.
- Taxes and Fees: All rental fees are subject to applicable taxes including a 7% Florida Sales Tax and 6% Manatee County Tourist Tax. A cleaning fee is charged separately. Additional fees may apply for extra guests, pets, or special requests.
- Travel Protection Insurance: Reel Coastal Properties offers travel insurance through Red Sky Travel Insurance (RSTI) which can be added at the time of reservation. The travel insurance plan is effective the day payment is received. Travel insurance is strongly recommended to help protect the guests’ vacation investment in the case of unexpected circumstances. The Plan includes coverage for the loss of prepaid, non-refundable trip costs if the trip is unused or interrupted due to certain unforeseeable events. Outstanding reservation costs are not eligible for reimbursement at the time of cancellation and the cost of the Plan is not eligible for a full refund outside of the Plan’s free look period. Terms and conditions apply; please read your Plan documents carefully. Questions concerning travel insurance should be directed to RSTI at 1-866-549-5283 or on RSTI’s website at www.redskyinsurance.com.
2. Cancellation Policy
- Cancellation by Guest:
- To receive a full refund1, guests must cancel at least 30 days before check-in.
- Cancellations between 7 and 30 days before check-in will be refunded 50% for all nights.
- Cancellations less than 7 days before check-in will not be refunded.
- Cancellation by Host: If we are unable to honor your reservation due to unforeseen circumstances (e.g., maintenance issues), you will receive a full refund or, if applicable, an alternative accommodation.
3. Check-In / Check-Out
- Check-In Time: 4:00 PM
- Check-Out Time: 10:00 AM
- Early check-in or late check-out may be arranged in advance subject to availability and additional fees
4. Occupancy and Use of Property
- Maximum Occupancy: The maximum number of guests allowed at the property is listed in the property description and includes children. Exceeding this limit may result in additional charges or termination of the rental agreement.
- Permitted Use: The property is for vacation rental purposes only. It may not be used for events, parties, or commercial purposes unless prior approval is granted.
- No Smoking: Smoking is strictly prohibited inside the property. A fine will be charged for smoking indoors.
5. Damage and Security Deposit
- Damage Waiver: A nonrefundable damage waiver of $69 is required at the time of booking. The deposit covers accidental damages to the property or its contents, such as broken furniture, spilled drinks on carpets, or accidentally damaged appliances, up to $1,500 per stay.
- Intentional Damage: Damage caused by negligence, willful destruction (e.g., throwing parties or vandalism), theft or breach of policies is not covered
- Lost Items: Missing items, such as towels, linens, or electronics, are not covered by the damage waiver
- Excessive Damage: If damage exceeds the coverage limit (for example, a total loss of appliances or structural damage), the guest may be required to cover the remaining costs out-of-pocket.
- Key & Remote Controls: The majority of properties managed by Reel Coastal Properties are secured by electronic locks which require a numerical code for entry rather than keys. Properties with keys are the responsibility the guest identified on the rental agreement. Properties, where the keys are lost and/or remotes for electronics or appliances, are lost are subject to a $25 replacement fee.
6. Pets
- Pet Policy: Pets are allowed at most properties but must be added to the reservation prior to check-in. A pet fee of $250 applies. Guests must clean up after their pets and ensure they are supervised at all times.
- Damage by Pets: Any damage caused by pets, including but not limited to furniture, floors, or yard damage, will be charged to the guest.
7. House Rules
- Noise: Please be respectful of neighbors. Quiet hours are 10:00 PM to 8:00 AM.
- Garbage Disposal: Guests are required to dispose of trash and recyclables in the designated bins. Failure to do so may result in an additional cleaning fee.
- Fireplace/Grill Use: If the property includes a fireplace or grill, please use them according to the instructions provided. All fires must be extinguished before leaving the property or going to bed.
- Parking: Each vacation rental can accommodate at least one vehicle for each bedroom. Should a guest have visitors, their guests are subject to the same vehicle limitation at the property. Street parking is allowable in certain locations subject to local ordinances and should be considered daily parking for visitors only. No boats, motor homes, trailers, commercial vehicles, etc., shall be permitted on the property.
8. Liability and Insurance
- Liability: The property owner and management are not liable for any injury, loss, or damage to guests or their personal property during their stay.
- Travel Insurance: We highly recommend purchasing travel insurance to cover unexpected events, including trip cancellations, medical emergencies, or loss of belongings.
9. Pools: Properties with heated pools are heated to approximately 85 degrees, on days when the weather is cool the pool heaters may not be able to accommodate swimming. Temperature recovery times will vary due to the outdoor temperature. Reel Coastal Properties is not responsible for the temperature of the pool due to weather or pool malfunctions and cannot provide refunds for any such events. The guest acknowledges if the property is equipped with a private pool (the “Facilities”), the Guest hereby accepts and agrees to the following:
- Guest shall ensure that the facilities are used in a safe manner at all times and that non adult use of the facilities is supervised by a qualified and capable adult.
- Unsafe and/or unsupervised use of the Facilities by Guest or Guest’s visitors is a material breach of this contract and shall permit Reel Coastal Properties to terminate IMMEDIATELY WITHOUT NOTICE Guest’s occupancy of the Property.
- Guests are prohibited to tamper with chemicals or equipment. If Guest is found to have tampered with chemicals or equipment, the Guest will be responsible for any expenses incurred.
- Guest shall indemnify and hold Reel Coastal Properties (its officers, employees, agents and equity holders) and the Owner of the Property harmless from and against any and all liabilities, claims and expenses for personal injury or property damage resulting from unsafe and/or unsupervised use of the Facilities by Guest or the Guest’s visitors.
10. Maintenance and Repairs
- Repairs: We strive to keep the property in excellent condition. However, minor maintenance or repair issues may arise. We will address these promptly but cannot guarantee against interruptions.
- Emergency Contacts: In case of emergency, guests can contact us at 941-200-1010. In case of serious emergencies, please contact local authorities.
11. Inclement Weather: Reel Coastal Properties cannot be held responsible for inclement weather, and accordingly, a refund of rental monies is not required to be given. Should a hurricane or tropical storm threaten our area we will receive evacuation instructions from the National Hurricane Center and our local governing officials. If the “Mandatory Evacuation” order is given, guests should seek refunds by Red Sky Travel Insurance (if you have purchased coverage before the storm was named).
12. Privacy and Data Protection
- Personal Information: By booking, you consent to the collection and use of your personal information for the purpose of processing your reservation and facilitating communication.
- Data Protection: We will not share your personal data with third parties unless required by law or for the provision of services related to your stay.
13. Indemnification
Guest indemnifies Reel Coastal Properties and the property owner from and against any and all liability, loss, damage, and expense, including reasonable attorney fees and disbursements arising from injury to persons or damage to rental property; occasioned by the failure of the property owner to comply with any provision of law or this agreement; occasioned by any act or omission of the property owner or any person residing in or renting owner’s property; occasioned by any act or omission of the property owner, or property owner’s agents, servants, or contractors; or, occasioned by any act or omission, with the exception of such acts or commissions constituting gross negligence or willful misconduct of Reel Coastal Properties, its agents, servants, or contractors when acting as agent for the property owners as provided herein. Special risks may be involved when using pool and guest assumes all responsibility for himself/herself and their guests and for the consequences of those at risk. Guest agrees to waive any claim whatsoever and hold harmless Reel Coastal Properties and the property owner for accidents and claims resulting from accidents and or injury arising from the use of the rental property and any of its equipment, porches, decks, stairs, parking area, elevators, common area, etc. The guest agrees to reimburse the owner for any fine or penalty which may be imposed upon the owner by any court, by reason of violation upon the premises through the use thereof, or fault of the guest herein, his agents or servants.
14. Force Majeure
Neither party shall be liable for any failure or delay in performance of their obligations under these Terms due to causes beyond their reasonable control, including but not limited to natural disasters, acts of war, or governmental action.
15. Amendments
The property owner reserves the right to modify these Terms and Conditions at any time. Changes will be communicated to guests via email or on the booking website. The updated Terms will take effect immediately after being posted.
16. Governing Law
These Terms and Conditions are governed by and construed in accordance with Florida law and any disputes arising out of or related to these Terms shall be resolved in the courts of Manatee County, Florida.

- Please note that a portion of the administrative fee (the reservation fee) is non-refundable. This fee covers the costs associated with processing and managing your reservation and is retained in the event of cancellation
